Auckland Edinburgh College (AEC) has agreed to observe and be bound by the Code of Practice for the Pastoral Care of International Students published by the Ministry of Education. Student Fees Protection

Auckland Edinburgh College has an agreement with it¡¯s accountant, who acts as a trustee to protect students¡¯ fees by hold students¡¯ fees in a trust account and pro rata, monthly, in arrears transferring the fees over to the Institute. This protects all students¡¯ fees against the unlikely event of insolvency, regulatory closure or withdrawal of accreditation of the college. This is an NZQA approved method of fee protection. To Enrol at AEC:

  • Students approach Auckland Edinburgh College (AEC), or one of AEC¡¯s contracted agents.A full enrolment pack will be given to the student in the student¡¯s first language where available.
  • A student advisor or the Agent assists the student to complete the enrolment form and then submit it. If the student is under the age of 18, the student or the Agent must supply contact details of the parents and/or the designated caregivers, so AEC can establish communication arrangements with the parents or caregivers.
  • On receipt of the completed enrolment form, AEC will issue a letter of Offer of Place which is required for a student visa application.
  • On receipt of the full payment in the form of cash, cheque, bank draft or telegraphic transfer, AEC will issue a full payment receipt.
  • The course is subject to start on the fourth Monday from the date of receipt.
  • The student must notify AEC on receipt of the student visa, and confirm the start date and/or airport pickup and homestay accommodation.
  • AEC verifies and records a copy of the student¡¯s visa/permit upon arrival.
  • The student needs to attend school on the first Monday with the student¡¯s passport, 2 passport photos and local and overseas contact details.
  • The student must complete a placement test in order to be placed into a class which is the most appropriate level to match the student¡¯s ability.
 
   
 
   
 

1. Enrolment Policy

Enrolment is subject to the following conditions which become legally binding on confirmation of the acceptance of a student by Auckland Edinburgh College (AEC).
a) Enrolment is completed only when AEC receives full payment of fees.
b) Conditions of enrolment can only be changed at the discretion of AEC Management.

2. Payment

a) All fees, including Goods & Services Tax (GST), are received and refunded in New Zealand dollars. AEC is not responsible for any currency fluctuations between enrolment and issuing of refunds.
b) All fees are calculated on complete weeks, including the weeks with public holidays. Exemption is made however, for a consecutive 2 week annual holiday which covers Christmas and New Year¡¯s Day. Any part of a week is counted as a full week.
c) Registration fee is non-refundable.
d) Course fees are deducted from the first day on which a student¡¯s attendance on a course is required.
e) All fees are non-transferable to other institutions or students.

3. Withdrawal & Refund Procedures

a) The amount of refund depends on the length of the course of study (period of enrolment) and on the time period before withdrawal, as summarised in the following:

Note: The total fee in the table above includes all fees paid to AEC excluding accommodation fees.

b) All applications for withdrawal and/or refund must be submitted in writing with all original documents.

c) Any refunds must go to the person from whom AEC received the monies, unless written authority to refund direct to the student is received by the school from the sponsor.

d) Students with a student permit from NZIS to study at AEC are not permitted to enrol at another institution and at the same time study part-time at AEC. Any enrolment at another institution before their enrolment period ends means total withdrawal from AEC.

e) On withdrawal, AEC will advise the New Zealand Immigration Service that the visa/permit must be cancelled. The official receipt and Offer of Place document must be returned to AEC before any refund will be made.

f) Students who are under 18 years of age who wish to withdraw must provide a letter of consent from their parents. For parents who reside overseas, this signed letter of consent should be mailed directly or faxed to our office.

4. Accommodation

a) Once a student commences living in a homestay, a minimum non-refundable period of 4 weeks is mandatory, unless the period of study is shorter than 4 weeks.
b) Non-advice of a late arrival will require a homestay payment from the advised arrival date.
c) Accommodation arrangement fee is non-refundable once the arrangement has been made.
d) Accommodation is guaranteed for the period of time covered by accommodation fees received and held by AEC.

5. Attendance & Discipline

a) The student is expected to attend all lessons, be on time and behave in a responsible manner at all times.
b) AEC reserves the right to expel any student who breaks New Zealand law or AEC rules, or fails to attend at least 80% of the course enrolled on. The student will be given 3 written warnings in an attempt to remedy the problem prior to expulsion. Breach of New Zealand law will lead to immediate expulsion.
c) In the case of expulsion, AEC will advise the New Zealand Immigration Service and fees will not be refunded.
d) More detailed information is contained in the
"Student Rules" below.

6. Leave

a) Students enrolling on courses of 13 weeks or more may apply in writing for a maximum of 2 weeks¡¯ leave. Fees will be deferred only if the leave is on a whole week basis.
b) Applications must be submitted at least 1 week in advance.
c) Students under the age of 18 must advise their Homestays/Designated Caregivers and AEC of intended travel arrangements.

7. Insurance

a) The Accident Compensation Corporation provides accident insurance for all New Zealand citizen, residents and temporary visitors to New Zealand, but you may still be liable for all other medical and related costs. Further information can be viewed on the ACC website.
b) International students must have appropriate and current medical and travel insurance while studying in New Zealand.
c) AEC can provide assistance in obtaining this insurance if students wish, although AEC is not responsible for any sickness, damage or loss incurred while at school or on school activities.

8. Student Welfare

All students are welcome to discuss concerns regarding their study, accommodation, visa requirements, further study and other issues with staff.

9. Student Grievance Policy

a) Complaints should be directed to the reception staff or student advisors in the first instance, and then to the Head of the relevant department. If a student is unhappy with the outcome, the matter will be referred to the Board of Directors and their decision will be final.
b) Should a student believe the matter has not been resolved by AEC fairly, the student may refer the matter to the International Education Appeal Authority:

 
   
 
   
 

Student Rules

1. Change of Personal Details

Students are required to notify the school of any change in their contact details, residential address and student visas/permits.

2. Attendance

A minimum of 80% attendance is required for the validity of a student visa/permit.

  • Lateness: Students late for class may not be able to enter until the class stops for a break.
  • Leaving class early: if students leave the class early without permission from the teacher, they will be deemed as absent.
  • Absence: A Medical/Doctor Certificate is required if a student is away for one or more days.
  • Sickness: Students must notify the school immediately if they have a contagious sickness so that the school will have the choice to restrict entry. This is in order to control possible contamination of others.
  • Leave: Leave application must be submitted 1 week in advance for approval. Only approved leave and statutory holidays will not affect a student¡¯s attendance.

3. No Mobile Phone

Students with mobile phones must turn their mobile phones off during class time. If the mobile phone rings in class, the teacher may ask the student to leave the class until the lesson is finished.

4. English only

Students are expected to speak only English in class. No offensive language is allowed at school.

5. Smoking

AEC is a smoke free environment. Smoking inside the building is strictly forbidden.

6. Behaviour

Students are expected to behave in a responsible manner at all times at school.

a) Students must comply with the conditions of their permit to stay in New Zealand, and must obey the laws of New Zealand.
b) Students must not run in the corridor, shout, mark or damage any school property.
c) Copying other¡¯s work or cheating in tests/exams is unacceptable.
d) Detrimental behaviour to the school or others in the school will result in disciplinary action and possible expulsion. Detrimental behaviour includes:

  • Poor attendance;
  • Poor work-habits, e.g., sleeping;
  • Repeated class disruption;
  • Disrespect;
  • Sexual harassment or other types of harassment;
  • Verbal abuse;
  • Violence or bullying;
  • Possession of illegal substance, such as drugs;
  • Possession of alcoholic liquor;
  • Theft;
  • Endangering the health and safety of others at school;

Or any other behaviour or attitude that is, in the Principal¡¯s view, unacceptable.

7. Hygiene

Students will at all times maintain normal acceptable hygiene standards.

a) Students are expected to maintain an acceptable level of personal hygiene so that they do not offend any other student in close proximity to them.
b) Students will ensure that the facilities provided are maintained to a reasonable standard of cleanliness. Students therefore are to tidy up their own mess.
c) Students will dress in a manner suitable for the school environment demonstrating normal levels of modesty.
